Running an executive chauffeur service that clients book again and again
Executive clients rarely leave over price. They leave over friction. Here is what they notice, and how to make your service the easy choice every time.
An executive chauffeur service sells more than a car. Clients can find a clean black sedan anywhere. What they come back for is the feeling that the trip was handled: booked in a minute, priced exactly as expected, and a driver who was there before them.
That feeling is built in the boring parts of the business. Here is where to focus.
Make booking take less than a minute
Your clients, or their assistants, are busy. If booking means a phone call, a wait for a quote and a confirmation sometime later, they will use someone faster next time. A good booking page asks only for what it needs: service, route, time, vehicle and passenger details, and shows the price before they commit.
Viadence gives every company its own branded booking page, with your logo, colours and fleet photos, and a five-step form clients can finish on their phone between meetings. Assistants can book for executives, and both get the confirmation.
Quote the same price every time
Nothing erodes trust like two different prices for the same trip. If the price depends on who answers the phone, clients notice. Build a rate card once and use it for every booking:
- A distance rate per vehicle class, such as one rate for a business sedan and a higher one for first class.
- A minimum fare, so short trips still make sense.
- An hourly rate with a minimum number of hours, for as-directed days and roadshows.
- Extras with fixed prices: child seats, extra stops, waiting time.
When every quote comes from the same rules, the price a client sees is the price they pay, and your office never has to explain a difference.
Give them a name, not a dispatch number
Executive clients like to know who is coming. Assign the driver early and tell the client: name, car and plate. With Viadence, assigning a driver and a car is one tap, and the customer is emailed the driver's details at the same moment.
Remove the “where is my driver?” call
The most common call to a chauffeur office is a client or assistant checking on a pickup. Answer it before it's asked. Each Viadence booking has a private trip page that updates as the driver taps on the way, arrived and passenger on board. Assistants can keep it open in a browser tab.
Make changes easy, within limits
Plans change. Meetings move. Clients should be able to change a pickup time or add notes themselves, up to a cut-off you set, without calling. Changes outside the cut-off still come to you. It saves your office time and gives clients control.
Keep your best clients close
Regular clients are your most valuable asset. A few ways to look after them:
- A discount code or package per account, so their agreed rates apply automatically.
- A short thank-you after each trip, sent automatically.
- An occasional, useful email to past clients who agreed to hear from you, such as holiday availability or a new vehicle in the fleet.
The standard to aim for
Every booking should feel the same: fast to book, priced as expected, a named driver, no surprises. That consistency is what clients pay a premium for.
