Getting started5
Viadence is booking software for chauffeur, limousine and airport transfer companies. You get a branded booking page that prices every ride from your own rates, takes payment into your own Stripe account, and a dashboard and driver app to run the trips.
You can be live in under an hour: add your vehicle classes, your services and rates, draw your service area, and share your booking page link.
No. Your booking page at viadence.com/book/your-name works on its own. If you do have a website, you can also embed the booking form on it.
No. Viadence runs in the browser, with phone apps for the dashboard and for drivers. There are no plugins or servers to look after.
Viadence runs the same pricing and booking logic without WordPress, so there’s no plugin to update or host. The plugin is still sold separately if you prefer to keep it on your own site.
Booking page6
Yes. Paste one snippet to embed the full booking form or a “Book now” button on any website. On Pro and above you also get side panel, full-width, single-service and single-vehicle widgets.
Yes. Choose a template, colours, font and corner style, upload your logo, banner and favicon, and turn sections such as fleet, service areas and FAQs on or off.
Yes. Every label and button on the booking form can be renamed. Anything you leave empty uses our default wording.
Yes. Add your own questions as short answers, paragraphs, numbers, drop-downs or tick boxes, and make them required or optional.
Airport transfers, city-to-city rides, hourly hire, station transfers, tours, wedding cars and fixed-price packages. You choose which ones appear and in what order.
Yes. The booking page and widgets are designed for phones first, since that’s where most customers book.
Prices & fares6
From your own rates. Set distance bands with a minimum fare, or an hourly rate, for each vehicle class and service. Viadence measures the real driving route with Google Maps and adds extras, surcharges and discounts on the server, so the quoted price is the charged price.
Yes. Day and time rules add a surcharge or discount for hours and days you choose; Free includes two. Pro adds rules for exact dates, such as New Year’s Eve, and rules limited to certain vehicles or services.
On Pro and above, when several pickups fall close together, the fare rises by the tier you set, such as +10% when there are five other pickups within an hour. Quiet times stay at your normal rate.
Yes. Child seats, booster seats, extra luggage, waiting time and each extra stop can have their own price.
Yes. Discount codes can be a percentage or a fixed amount, with expiry dates and limits per customer. Packages have a fixed price, for tours or corporate deals.
Choose your currency in settings. The booking page, emails and card payments all use it, including currencies without cents such as JPY and those with three decimals such as KWD.
Payments & refunds6
Straight into your own Stripe account. On Pro and Platinum you paste your Stripe keys once, and every booking payment or deposit is collected directly by you. On Free, customers pay you in cash or however you arrange.
No. You pay a flat monthly plan price. We never take a cut of your fares; the only other fee is Stripe’s own card processing fee.
Yes, on Pro and above. Customers pay the deposit when they book and the balance from their trip page later. You choose whether deposits are refundable.
Yes. You can let customers pay the driver in cash, and the driver app shows how much to collect.
Set refund tiers by how early a customer cancels, such as a full refund up to 24 hours before. When a customer cancels online, card refunds go back automatically. If a refund fails, you’re told straight away.
No. Customers pay on Stripe’s secure payment page; card details never reach Viadence. Your Stripe keys are stored encrypted.
Drivers & dispatch5
Open a booking, pick a driver and a car, and save. The driver sees the job in the driver app and the customer is emailed the driver’s details.
Their jobs with route, stops, passenger, flight number and notes, buttons to call or text the passenger, how much cash to collect, and buttons to mark the trip on the way, arrived, passenger on board and completed.
No. Before a time is offered, Viadence checks every car and driver for the whole trip plus the gap you keep between jobs. If two customers try for the last car at once, only one gets it.
Yes. Add bookings from the dashboard. If a slot is full but you know a car will be free, staff can choose to book anyway.
Each booking has a private trip page that shows its status as the driver updates it: on the way, arrived, passenger on board and completed, with the driver’s name and car.
Plans & billing6
Yes. Free includes 10 bookings a month, 3 vehicle classes, 3 services, 3 team members, basic day and time pricing rules and offline payments, with no card needed. Pro ($28/month or $248/year) adds card payments, deposits, all pricing rules and 100 bookings a month. Platinum ($77/month or $797/year) raises every limit. Enterprise limits are agreed with you.
New bookings pause until next month or until you upgrade, and we email you once so it doesn’t come as a surprise. Existing bookings carry on as normal.
Nothing is deleted. If you have more vehicle classes, services, widgets, codes or team members than the smaller plan allows, your oldest ones stay active and the rest are paused until you upgrade or remove some.
Yes. Yearly billing costs less than paying monthly for twelve months.
Yes. See our refund policy for the details and time limits.
For companies that need more than Platinum: higher booking volumes, more vehicles and team members, and custom integrations, with limits agreed with you. Contact us to talk it through.
Data & security4
You do. Your bookings and customer details belong to your company. We use them only to run the service for you.
Yes. Trip pages and booking lookups use private links and are kept out of search engines.
On Pro and above, yes, but only to customers who agreed when they booked. Every email has a one-click unsubscribe.
Our terms of service, privacy policy and refund policy are linked at the bottom of every page.
