How to take wedding car bookings a year ahead without double-booking
Couples book their wedding car months, sometimes a year, ahead. Here is how to hold the date, collect every detail up front and make sure the car is always there.
Wedding car hire is a business of long lead times and no second chances. Couples book months, sometimes more than a year, before the day. Then everything has to be right: the car, the colour of the ribbons, the timings between the house, the ceremony and the reception. There is no rebooking a wedding.
That makes it one of the best fits for online booking, as long as the booking does the hard work for you.
Open your calendar far enough ahead
Couples plan early, so let them book early. Set how far ahead customers can book (a year or more is normal for wedding cars) so your best dates can be taken the moment a couple decides. On Viadence this is one setting, the booking window.
Ask every question once, up front
Every wedding needs the same details, and chasing them by email for months is where time disappears. Put them on the booking form:
- Ceremony and reception venues.
- Ribbon and flower colours.
- Number of trips (bride, bridesmaids, couple to reception).
- Photo stops on the way.
- Anything the driver should know.

Hold the date with a deposit
A wedding date can't be resold at short notice. A deposit makes the booking real:

Sell the day as a package
Couples compare offers, and a clear package is easier to choose than an hourly quote. For example:
- Ceremony: 3 hours, one car, ribbons included.
- Ceremony and reception: 5 hours with a photo stop.
- Bridal party: the main car plus a guest minibus.
Let couples change details themselves
Timings shift as the day gets planned. Let couples change the pickup time or add notes themselves up to a cut-off you set, such as two weeks before. You're emailed every change, and the booking stays accurate without phone calls.
Make clashes impossible
